This Privacy Policy explains how Kaltheon ("Kaltheon," "we," "us," "our"), currently operated as a sole proprietorship based in Montreal, Quebec, Canada, collects, uses, and protects information when you use our billing software for commercial specialty subcontractors.

Information We Collect

  • Account information: name, work email, company name, and role, provided when you sign up or are invited to an organization.
  • Customer Data you upload: contracts, schedules of values (agreed job price breakdowns), change orders, progress billing figures, insurance certificates, and related documents needed to prepare payment applications.
  • Usage data: log data such as pages visited, actions taken, and device/browser information, collected automatically to operate and secure the Service.

How We Use Information

We use collected information to:

  • Provide the Service, including artificial-intelligence-assisted form reading and document generation (with all math performed by a deterministic calculation engine)
  • Maintain security, including audit logs of account and data activity
  • Communicate with you about your account, including service and billing notices
  • Improve the Service

We do not sell your information, and we do not use your Customer Data to train third-party artificial intelligence models beyond what is needed to process your request in real time. Our artificial intelligence provider's commercial terms contractually prohibit using API customer data to train their models by default.

How We Share Information

We share information only with:

  • Service providers who help us operate Kaltheon (such as cloud hosting, database, email delivery, and artificial intelligence processing providers), under contracts that restrict their use of your data to providing services to us
  • Authorities, if required by law
  • Other users in your organization, based on the permissions your organization sets

We do not share your Customer Data with general contractors, portals, or any third party without your action to submit or export it.

Data Security

We use industry-standard safeguards, including encryption in transit, database-level access isolation between customer organizations (row-level security), and audit logging of activity on core records. No system is completely secure, and we cannot guarantee absolute security.

Data Retention

We retain Customer Data for as long as your account is active, and for a reasonable period after termination to allow for data export, unless a longer period is required by law.

Your Choices

You may access, correct, or request deletion of your account information by contacting us. Depending on your location, you may have additional rights under applicable privacy law.

Children’s Privacy

Kaltheon is a business tool not directed at or intended for use by children, and we do not knowingly collect information from children.

International Data

Our infrastructure providers may process data in the United States. By using the Service you consent to this processing.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated by email or in-app notice.
